Actions

Actions allow your forms to manage your contacts and update their information.

To use actions, your organization must have access to Church Tools

How to Add Actions

The Contact question must be added first before actions can be set up. After adding the Contact question, navigate to the Actions tab in your form and select Add Action.

Action #1: Add Contact to Ministry Group

This action lets you automatically move responders into a ministry group. Contacts will not be added directly to the ministry group but instead to one or more of the ministry subgroups within the group. You can select any number of ministry subgroups across different ministry groups.

Action #2: Add Contact to Contact Category

This action lets you automatically move responders into a contact category. Contacts will not be added directly to the contact category but instead to one or more of the contact subcategories within the category. You can select any number of contact subcategories across different contact categories.

Action #3: Add Contact to Life Event

This action lets you automatically assign responders a life event.

Field Options

The life event action is highly customizable. A majority of the fields can either be set to a static value or a link to question.

  • Setting a field to static value allows you to set a universal value for all responders.

  • Setting a field to link to question allows a dynamic value to be set. The field will be filled in with whatever answer the responder gives to that chosen question.

Options

  • Life Event (required) - The life event you want responders to be added to

  • Life Event Date (required) - The date in which the added life event will take place. Since this field is required, only date questions that are labelled as required will show up if the link to question option is chosen.

  • Note - A note you want to attach to the life event.

  • Expiry Date - The date in which the life event will expire. Relative to Event Date lets you set the expiry date to a fixed amount of time after the life event date.

  • Custom Fields - Allows you to set custom supplemental information to your life events. Custom fields can either be text or a date and can be configured using the Church Tools platform.

Action #4: Add File to Contact

This action allows files uploaded on your forms to become associated to the uploader’s contact record. To add this action, select a file upload question on your form and provide a file description.

Example: If you select the file upload question “Please upload your vulnerable sector check” and provide the Vulnerable Sector Check description, all responders that upload a document to the file upload question you selected will have a new file associated to their contact record with the description Vulnerable Sector Check.

Action #5: Create Contact

This action creates new contact records from your forms and is automatically enabled when the Contact question field is present on your form. Other actions can be combined with the create contact action to add new contacts and immediately associate them to a ministry group, link a file to their contact record, and more. This action runs only when no existing contact record matches the responder’s email, or when Match existing contacts by email is disabled.

Triggers

Triggers determine when your actions run. There are two options for triggers on actions:

  1. On Completion - Actions with this trigger happen after a responder submits a form. Partial responses do not trigger these actions.
  2. On Send - Actions with this trigger happen when you send your form to contacts.

Action Logs

Action logs help you keep track of the actions that happen on your forms. Every time an action is triggered, a record of the action as well as its completion status becomes visible. Action logs can be viewed in two places:

  1. In the Actions tab of your forms, a section called Action Logs displays all the actions ran on your form.

  2. When viewing an individual response, a section called Actions lists all the actions ran for that particular response.
